How to Use the Time Card Calculator
- Navigate weeks — use the Prev/Next buttons to move between Week 1 and Week 2 of the bi-weekly period.
- Enter clock-in and clock-out times for each day using the time pickers. Night shifts (crossing midnight) are handled automatically.
- Set break duration — use the preset buttons (None, 30m, 45m, 1h) or leave as None for no deduction.
- Toggle days off — click the Off switch to mark a day as a day off (excluded from pay calculation).
- Mark holidays — click the Holiday switch to flag a day as a holiday. Holiday hours are tracked separately and can use a different pay rate.
- Select pay rates — use the Pay Rate dropdown on each day to assign regular, overtime, double-time, or holiday rates.
- Configure overtime rules — set daily OT threshold, weekly OT threshold, and double-time trigger in the Overtime Rules bar.
- Monitor running balance — the Running column shows cumulative hours as you fill in each day.
- Export your data — download as CSV for spreadsheets, copy a text summary, or use the print-friendly view.

Overtime uses a tiered system. Daily overtime kicks in after your configured daily threshold (default 8 hours). Weekly overtime applies when total hours for a single week exceed the weekly threshold (default 40 hours). Double-time activates when daily hours exceed the double-time threshold. The tool applies the highest applicable rate to avoid double-counting.
Yes. Each day has a Pay Rate dropdown with options for Regular, OT (1.5×), Double (2×), and Holiday. You can also configure the regular hourly rate and multipliers in the toolbar. The tool calculates pay for each day using the assigned rate.
The Running column shows cumulative hours from Day 1 through the current day. As you enter clock in/out times, each day's hours are added to the previous total. This helps you track progress toward your weekly and bi-weekly targets.
If the clock-out time is earlier than the clock-in time (e.g., clock in at 22:00, clock out at 06:00), the calculator assumes the shift spans midnight. It adds 24 hours to the end time before subtracting, yielding the correct duration.
